How to reduce PDF size for an upload limit

A decision tree for forms, portals, email attachments, and other workflows that reject a PDF because it is too large.

Quick answer

Check the exact upload limit, then use Compress PDF and compare the new file size with the limit. If compression is not enough, remove pages that do not belong in the submission or split the document into accepted parts. Always open the final output before uploading it.

Start with the real limit

“Under 10 MB” and “under 10 MiB” are close but not identical, and some systems enforce a byte-level limit. Save a little headroom instead of targeting the exact boundary. If the limit is not documented, check the form instructions or the error message before changing the file.

Use this decision tree

  1. Too many pages? Remove unrelated pages with Delete PDF pages.
  2. Large scans or images? Use Compress PDF and inspect fine print afterward.
  3. Still too large? Split the document into ranges if the destination accepts multiple files.
  4. Quality is now poor? Restore the original, choose a lighter setting, and reduce page count or image-heavy content instead.

What usually makes a PDF heavy?

  • High-resolution scans of every page.
  • Large photos, screenshots, and pasted presentations.
  • Duplicate or blank pages that do not belong in the upload.
  • Embedded fonts, attachments, or other assets added by export software.

Verify before you upload

Open the compressed or split output, check the page count, zoom into a signature or small-print section, and confirm that forms or links still behave as expected. Use a filename that makes the final version obvious, such as application-under-10mb.pdf.

Common questions

Why is my PDF still large after compression?

Scanned pages and embedded photos can dominate file size, and some PDFs already contain compressed images. Removing unnecessary pages or splitting the document may work better than using a more aggressive preset.

How can I compress a PDF below a specific limit?

Start with the exact byte or megabyte limit, compress once, check the output size on your device, and repeat with a stronger setting only if readability remains acceptable.

Should I delete pages before compressing?

Yes when the upload does not need every page. Removing irrelevant pages reduces the amount of content to compress and produces a cleaner submission.

What if the portal accepts only one file?

Compress first and remove unnecessary pages. If the result still exceeds the limit, check the portal instructions or contact the administrator; splitting may not be allowed for a single-file submission.
