How to make an invoice PDF for free

Make an invoice in six steps

  1. Open the Invoice Generator.
  2. Fill in From (your business) and Bill to (your client).
  3. Set the invoice number, date, due date, currency and tax rate, and your tax or VAT ID if you have one.
  4. Add each line item with a description, quantity and unit price.
  5. Add payment details and a footer note, then pick a template, an accent colour and your logo.

Requirements differ by country and by customer, so check what applies to you. As a baseline, a clear invoice usually has:

Choose from six accent colours (graphite, navy, teal, forest, burgundy and terracotta). To add a logo, upload a PNG, JPG, WebP or SVG up to 5 MB and pick a size. If an image will not load, try exporting it as a PNG.

Currency and tax

Pick one of USD, EUR, GBP, INR, CAD, AUD or JPY, and amounts are formatted with the right symbol. Enter the tax rate as a percentage. The tax is worked out on the subtotal and added to give the total due. If you charge no tax, leave the rate at zero.

Languages and special characters

The invoice can draw Latin, Greek and Cyrillic text, Japanese, Chinese and Korean text, and Hindi. Arabic, Thai, emoji and rare characters cannot be shown in the PDF yet and appear as question marks. The tool lists any characters it cannot draw before you download, so you can change them first.

Nothing is saved, so plan for it

Your entries stay only while the page is open and are not stored afterwards. That keeps billing data off the device’s storage, but it means you start from a blank form next time. Keep your standard details somewhere you can copy from, and make several invoices in one sitting if you can. Download each PDF before you close or reload the page.

After you download it

Privacy

The invoice is generated in your browser, so client names, amounts and addresses are not uploaded, and the logo stays on your device. The page may load font files from the site when your invoice needs a script such as Japanese or Hindi, but that does not involve your billing data.
